Advanced order reporting: build the forms

Goals and why

What you will learn

  • build a reporting form with the fields the driver should answer
  • link a number field to a price code, so the answer becomes a price line
  • use a section, so some fields only show when they are needed
  • when a report becomes a price line, and what Auto accept order reporting does

Reporting forms are the questions the driver answers in the app. They can be kilometres and hours, a photo of the weighing slip, a damage check at pickup or a signature. You build the forms once under Settings → Resource Reporting. If you connect them to the service types, they appear by themselves at the right stop on new orders when FleetX is switched on. Orders that already exist do not get them.

The most important part is the price link. A number field in a form in the Order category can be linked to a price code. When the report is approved, the number the driver reported becomes the quantity on a price line. Price, VAT and customer price come from the pricing setup. Drivers with the app permission Auto accept order reporting get their reports approved at once. For everyone else, the approval is what creates the price lines. If the report is approved after the order has been invoiced, no price lines are created.

Key terms

Resource ReportingThe form builder under Settings, with all the forms drivers fill in in the app.
CategoryWhat the form is used for. Only forms in the Order category can have fields linked to prices. Categories connected to Asset get a fixed asset ID field.
Field TypeWhat the driver answers with: Number, Decimal, Text, Textarea, Checkbox, Select, Date, Time, Camera, Signature or Approval. Approval is not available in forms in the Order category.
PricecodeThe price code a Number or Decimal field is linked to. The number the driver reports becomes the quantity on the price line.
SectionA group of fields that only shows when the answer to another field in the form has a certain value. The field that controls the section sits directly above it.
System formBuilt-in forms, such as Toll and Order Duration. They can be edited but not deleted.

  • Resource Reporting and Resource Reporting Categories only show in the Settings menu when the client has FleetX App (module 45).
  • Good demo point: «kilometers and hours truck» in the test tenant. Reported km becomes a KMLAST line with Fuel = Y, so the fuel surcharge is calculated from what the driver reported.
  • The section window warns against required fields inside sections until all drivers have the new app version. Older app versions show every field and enforce every required flag.
