Generate invoices

Goals and why

What you will learn

  • how the customer card decides how orders are combined and sent
  • choose which orders to invoice now, with the filters on the Generate page
  • check the proposal with Search and Preview before you create the invoices
  • why mistakes on a finished invoice must be corrected with a credit note

How to get there

  1. Click Invoice in the top menu.
  2. Choose Generate.
  3. You open the customer card by clicking the customer name in the proposal and choosing the Invoice tab.
  4. If you don't see the menu item, you are missing access or the module. Ask your administrator.

On the Generate page you turn orders that are ready into invoices. Three things decide every invoice. The customer card decides how orders are combined and sent. Your filters decide which orders are invoiced now. The client settings decide the numbering, KID and how the invoice is delivered. KID is the payment reference number the customer gives when they pay, so the payment can be matched to the right invoice.

The invoices are finished the moment you press Generate. There is no draft you can undo. That is why Search is a test run: you see exactly what will be invoiced, before anything is created.

Key terms

Invoice groupA group of customers, for example Weekly or Monthly. It is set on the customer card, so you can invoice the group on its own.
SearchA test run. Shows the invoices that would be created, without creating anything.
PreviewShows one invoice as it will look, before you create it.
Invoice aloneEach order gets its own invoice. The option is set on the customer card, and can be changed on the order.
Credit noteA document that takes back an invoiced amount. It is how you correct mistakes, because you can't delete a finished invoice yourself.
