Setup in practice: the rules and the employees

Learn to set up the rules and the employees in the time module, so the hours and the payroll file are right from day one.

Goals and why

What you will learn

  • set up a compliance rule with the right normal time and overtime hour type
  • change a shift without changing days that are already registered
  • what the attendance settings do with the punches
  • add an employee with the right employee type, department and Accounting ID

Here the building blocks from Setup: the concepts become settings. Most of it is under Settings in the time module menu, and employees are added under Employee. How the tachograph data is used in the checks is covered in Check against the tachograph.

Small choices here have big effects on pay. If normal time is set to 9 hours instead of 7.5, an hour and a half of overtime never becomes overtime. If the compliance rule has no overtime hour type, the system picks one itself. If an employee has no Accounting ID, the payroll file gets no employee number. So check the setup with a test day before employees start registering.

Key terms

Regular Daily HoursNormal time per day in the compliance rule. Hours above it become overtime or flexitime, depending on which compensation you choose.
Overtime Hour TypeThe hour type overtime is booked on, for example Overtid 50 %.
Valid fromThe date a change to a shift applies from. The old shift is kept for the history.
Punch Time AdjustmentMoves the punch to the shift's start or end when it falls within the threshold.
TachographLinks the activities from the tachograph (work, driving, rest) to the attendance types. The tachograph fills in punched days for employees who only punch, and is used to check daily reports.
Accounting IDThe employee's number in the payroll system. This is the employee number in the payroll file.

  • In the test company employee 44 is used in internal demos. Do not change it. Create new rules and profiles named «AKADEMI TEST» when practising.
  • The manus says the employee ID is set in the employee list and goes into the export. In the code it is the Accounting ID on the profile that becomes the employee number in the payroll file.
  • The tachograph link is off in the test company, so the mapping cannot be shown in recordings there.
